Winchester Country Club App Privacy Policy

Winchester Golf Club, Incorporated, doing business as Winchester Country Club (“WCC,” “we,” “us,” or “our”), respects the privacy of our members. This Privacy Policy explains how we collect, use, store, disclose, and protect information when you use the WCC Member App (“App”), as well as the choices available to you.

1. Information We Collect

Account and Registration Information

When you create an App account, we collect information necessary to establish and verify your account, including:

* Full name

* Email address

* Member number

* Password credentials

Your registration information, particularly your member number, is used to verify that you are an eligible WCC member before access to the App is approved.

Authentication is provided through our authentication service provider. WCC does not store readable copies of your password or make your password available to club personnel. Password credentials are securely processed and stored by our authentication provider using industry-standard authentication practices.

Information You Provide Through App Features

We may collect information that you voluntarily provide when using App features, such as requests, orders, communications, preferences, or other information you submit to WCC through the App.

The specific information collected depends on the feature you choose to use.

Member Directory Information

Participation in the WCC member directory is optional.

If you choose to participate, you may voluntarily provide directory information such as:

* Full name

* Email address

* Cell phone number

* Home phone number

* Mailing address

* Business name

* Business category

* Business phone number

* Business email address

* Business website

* Business description

You control whether you participate in the member directory and which optional information you provide.

Approved directory information is available to other authorized WCC members using the member directory.

You may request that your directory listing be changed or removed at any time by using the available directory features or contacting WCC at info@wcc1923.com.

Removing your directory listing does not automatically delete your App account, club membership, or other records maintained separately by WCC.

Notification Information

If you enable push notifications, the App obtains and stores a device-specific push notification token so notifications can be delivered to your device.

The App uses Expo notification services and Supabase infrastructure to facilitate push notification delivery.

You may enable or disable push notifications through the App and your device settings.

Technical and Security Information

Our technology and hosting providers may automatically process limited technical information necessary to operate, secure, and troubleshoot the App. This may include:

* IP address

* Device or browser information

* Authentication events

* Security and system logs

* Dates and times associated with account or system activity

This information is used for technical operation, authentication, security, fraud or misuse prevention, and troubleshooting.

WCC does not use this information to track members across unrelated websites or applications.

Location Information

The WCC App does not request or collect your device’s precise or approximate location.

Features that display location-related information, such as local weather, use a fixed location associated with WCC rather than your device’s location.

Information We Do Not Collect

The WCC App does not collect:

* Payment card information

* Bank account information

* Device location

* Photos or photo-library content

* Advertising identifiers for targeted advertising purposes

If you follow a link from the App to an external payment, reservation, booking, or other third-party service, information you provide directly to that service is governed by that service’s privacy practices.

2. How We Use Information

We use information collected through the App to:

* Create, authenticate, and manage App accounts.

* Verify club membership and determine eligibility for App access.

* Review and approve member access.

* Provide App features and club services requested by members.

* Process requests and orders submitted through the App.

* Maintain the voluntary member directory.

* Respond to member questions and service requests.

* Communicate club information and account-related information.

* Deliver notifications members choose to receive.

* Maintain notification preferences.

* Maintain, secure, troubleshoot, and improve the operation of the App.

* Detect or prevent misuse, unauthorized access, or security incidents.

* Maintain appropriate club and transaction records.

* Comply with applicable legal obligations.

3. Passwords, Payments, and Financial Information

Authentication is handled by our authentication service provider. WCC does not store readable passwords or make passwords available to club personnel.

The WCC App does not collect or store payment card details or bank account information.

Certain App features may link to third-party payment, reservation, booking, or other services. Information you provide directly to a third party is subject to that third party’s privacy policy and practices.

4. How We Disclose Information

WCC does not sell personal information.

WCC does not use personal information collected through the App for targeted advertising.

WCC does not use information collected through the App to track members across unrelated apps or websites.

We may disclose or make information available in the following circumstances.

Authorized WCC Personnel

Authorized WCC personnel may access information when reasonably necessary to:

* Verify membership.

* Review or approve App access.

* Manage member accounts.

* Process requests or orders.

* Respond to member inquiries.

* Administer App features.

* Maintain App security and operation.

Access is limited according to the individual’s responsibilities and authorized role.

Member Directory

Information you voluntarily submit and choose to include in the member directory may be viewed by other authorized WCC members with access to the directory.

Directory participation is optional. You may request that your listing be updated or removed.

Service Providers

We use third-party service providers to operate certain portions of the App.

These currently include services that support:

* Application hosting and database services

* User authentication

* Push notification delivery

* Transactional email delivery

* Technical infrastructure

Our primary App infrastructure and authentication services are provided through Supabase. Push notifications are facilitated through Expo notification services and Supabase. Transactional email communications may be delivered using Resend.

These providers may process information only as necessary to perform services on our behalf and according to their respective contractual and privacy obligations.

Legal, Safety, and Security Purposes

We may disclose information if reasonably necessary to:

* Comply with applicable law, regulation, legal process, or governmental request.

* Protect the rights, property, or safety of WCC, our members, employees, or others.

* Investigate suspected misuse, fraud, or security incidents.

* Enforce applicable club rules or agreements.

* Protect the security and integrity of the App and related systems.

5. Data Storage, Security, and Retention

WCC uses reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

Access to member account information is restricted according to authorized roles and operational needs.

No electronic system, storage method, or method of transmission can guarantee absolute security.

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing App services, maintaining security, maintaining appropriate club and transaction records, complying with legal or recordkeeping obligations, and resolving disputes.

Retention periods may vary depending on the type of information and the purpose for which it was collected.

Certain technical information may remain temporarily in system logs or backups until those records are deleted or overwritten through normal system processes.

Certain transaction or club records may be retained independently from an App account when reasonably necessary for legitimate business, accounting, security, legal, or recordkeeping purposes.

When information is no longer reasonably necessary for these purposes, WCC may delete, anonymize, or otherwise dispose of it as appropriate.

6. Your Choices and Account Deletion

You may update certain account information and preferences through the App.

You may manage push notification preferences through the App and through your device settings.

You may contact WCC at info@wcc1923.com to request:

* Access to personal information associated with your App account.

* Correction of inaccurate personal information.

* Changes to or removal of your member directory information.

* Deletion of your App account and associated personal information.

You may also initiate deletion of your App account directly through:

Settings → Delete App Account

WCC may take reasonable steps to verify your identity before processing a request involving access, correction, or deletion.

Deleting an App account removes the member’s App login and associated account/profile information. Information associated solely with the App account, such as notification preferences and device notification tokens, will also be deleted or disassociated as part of the account deletion process.

Certain records may be retained when reasonably necessary for legitimate business, accounting, security, legal, or recordkeeping purposes. Where practical, retained records will be separated or disassociated from the deleted App account when continued identification of the member is not necessary.

Deleting an App account does not cancel WCC membership and does not automatically delete records maintained independently by WCC as part of the member’s club membership.

Removal of an App account also does not automatically remove a voluntary member directory listing maintained separately from the App account. Members may request removal of directory information at any time.

Additional privacy rights may apply depending on applicable law.

7. Minor Members

The WCC App is a private membership service intended for eligible Winchester Country Club members and is not designed or marketed as a children’s application.

Minor members who are eligible for WCC membership privileges may use the App in accordance with WCC membership rules and any applicable parent or guardian requirements established by the Club.

WCC does not use information collected from minor members for advertising, behavioral profiling, or tracking across unrelated apps or websites.

WCC encourages parents and guardians to supervise minors’ use of online services and to contact WCC with questions or concerns regarding a minor member’s App account or personal information.

A parent or guardian may contact WCC at info@wcc1923.com with questions or concerns regarding information associated with an eligible minor member.

8. Third-Party Links and Services

The App may provide links to websites, reservation systems, payment services, or other resources operated by third parties.

When you leave the WCC App and interact directly with a third-party service, that third party’s privacy policy and practices govern the information you provide to it.

WCC is not responsible for the privacy practices of independently operated third-party websites or services.

9. Changes to This Privacy Policy

We may update this Privacy Policy as our App, services, technology, practices, or legal obligations change.

The current version will be made available through the App and/or WCC’s website and will identify its effective date and most recent update date.

If we make material changes affecting how members’ personal information is collected, used, or disclosed, we will provide appropriate notice and obtain additional consent where required by applicable law.

Winchester Country Club Member App Terms of Use

These Terms of Use (“Terms”) govern use of the Winchester Country Club Member App (“App”), provided by Winchester Golf Club, Incorporated, doing business as Winchester Country Club (“WCC,” “Club,” “we,” or “us”).

By accessing or using the App, you acknowledge that your use of the App is subject to these Terms.

1. Relationship to Club Membership and Governing Documents

The App is provided as a convenience to eligible WCC members and other individuals authorized by WCC.

These Terms govern use of the App and supplement WCC’s Bylaws, membership policies, rules, regulations, and other applicable Club policies. They do not replace or modify those governing documents.

Membership status, privileges, member conduct, discipline, suspension, expulsion, and other matters concerning Club membership remain governed by WCC’s applicable governing documents and policies.

If these Terms conflict with WCC’s Bylaws or another controlling Club governing document concerning membership or Club operations, the applicable Club governing document will control.

2. Eligibility and App Access

Access to the App is limited to individuals authorized by WCC.

WCC may verify membership or other eligibility before approving an App account and may deny, restrict, suspend, or terminate App access when an individual is no longer eligible for access, when necessary to protect the App or WCC systems, or when the App is being misused.

Deleting an App account does not cancel or otherwise alter Club membership.

3. Account Responsibility

You are responsible for maintaining the confidentiality and security of your App credentials and for activity conducted through your account.

You may not share your App credentials with an unauthorized person or permit another person to use your account to gain access to information or functionality they are not authorized to access.

You should promptly notify WCC if you believe your account has been accessed without authorization.

4. Acceptable Use

You may use the App only for legitimate personal, membership, and Club-related purposes.

You may not:

* Attempt to gain unauthorized access to another member’s account, WCC systems, databases, administrative functions, or restricted information.

* Circumvent or interfere with authentication, access controls, security measures, or other App protections.

* Scrape, crawl, harvest, systematically extract, or automatically collect information from the App.

* Introduce malicious code or intentionally interfere with the operation or security of the App.

* Use the App in a manner that violates applicable law or WCC governing documents and policies.

* Use information obtained through the App for fraudulent, abusive, or unauthorized purposes.

5. Member Directory

Participation in the WCC Member Directory is voluntary.

Information members choose to provide for the directory is made available for legitimate member-to-member purposes.

Access to the directory does not grant permission to:

* Scrape or systematically collect directory information.

* Create, sell, distribute, or provide member lists to third parties.

* Publish or redistribute another member’s directory information outside the authorized WCC environment without appropriate permission.

* Use directory information for unauthorized mass marketing, bulk solicitation, spam, or similar activities.

* Use directory information for fraudulent, unlawful, harassing, or abusive purposes.

Members remain responsible for determining what optional information they choose to provide for inclusion in the directory.

6. Information Submitted Through the App

The App may allow you to submit information, requests, orders, directory information, registrations, or other communications to WCC.

You are responsible for the accuracy of information you submit.

Submission through the App does not guarantee that a request, reservation, order, registration, or other transaction has been accepted unless the App or WCC provides confirmation indicating acceptance.

WCC may contact you when clarification, correction, substitution, availability information, or additional action is required.

7. Club Information, Schedules, Availability, and Errors

WCC attempts to keep information provided through the App accurate and current. However, Club schedules, operating hours, menus, prices, event details, availability, course conditions, policies, and other information may change.

Information displayed in the App may occasionally contain errors, omissions, delays, or outdated information.

WCC may correct or update App information when errors or changes are identified.

When information in the App conflicts with an official WCC communication, applicable Club policy, governing document, or information provided directly by authorized WCC personnel, the applicable official source will control.

8. Notifications and Communications

The App may provide service-related, operational, event, informational, or other Club communications.

Push notifications depend on device settings and third-party notification services and may occasionally be delayed or not delivered.

Members should not rely on push notifications as the sole source of time-sensitive or emergency information.

9. Third-Party Services and Links

The App may contain links to or integrate with websites, services, or content operated by third parties.

Third-party services are governed by their own terms, policies, and practices. WCC does not control and is not responsible for the availability, security, content, or privacy practices of independent third-party services.

10. Intellectual Property

The App and WCC-provided content, including WCC names, logos, branding, graphics, software, text, designs, and other materials, are owned by WCC or used with appropriate authorization and are protected by applicable intellectual property laws.

Authorized users may use App content for ordinary personal and Club-related purposes.

Nothing in these Terms grants a right to reproduce, commercially exploit, publicly distribute, modify, or create derivative works from WCC intellectual property except as expressly authorized by WCC or applicable law.

11. Privacy

WCC’s collection and handling of personal information through the App is described in the Winchester Country Club App Privacy Policy.

The Privacy Policy should be reviewed together with these Terms.

12. App Availability and Changes

WCC may modify, update, suspend, discontinue, or restrict portions of the App when reasonably necessary for maintenance, security, operational, legal, or Club purposes.

WCC does not guarantee that the App or every App feature will be available without interruption or error.

13. Suspension or Termination of App Access

WCC may restrict or terminate App access when reasonably necessary to protect WCC, its members, its systems, or the integrity of the App, or when an individual is no longer eligible for App access.

Actions affecting Club membership itself remain governed by WCC’s Bylaws and other applicable Club governing documents and policies.

14. Disclaimer

The App is provided as a convenience for WCC members and authorized users.

To the extent permitted by applicable law, the App and its content are provided on an “as available” basis. WCC does not warrant that the App will always be uninterrupted, error-free, or completely current.

Nothing in these Terms excludes or limits any responsibility that cannot lawfully be excluded or limited.

15. Limitation of Liability

To the extent permitted by applicable law, WCC will not be liable for indirect, incidental, special, consequential, or similar damages arising solely from use of or inability to use the App.

This limitation does not apply to liability that cannot lawfully be limited or excluded.

16. Governing Law

These Terms are governed by the laws of the Commonwealth of Virginia, without regard to conflict-of-law principles.

17. Changes to These Terms

WCC may update these Terms when the App, Club operations, applicable requirements, or WCC practices change.

The current version will be made available through the App. When appropriate, WCC may provide additional notice of material changes.

Continued use of the App after updated Terms become effective constitutes acceptance of the updated Terms to the extent permitted by applicable law.
